Party Terms & Conditions and Parent/Guardian Consent Please read the following terms and conditions carefully before booking a party at Serenade Party Studio. By confirming a booking, the parent or legal guardian responsible for the booking agrees to the arrangements below and accepts responsibility for providing accurate information about every child attending. ### 1. Bookings and Payment - A party booking is confirmed once the required booking payment has been received and the date and time have been agreed. - The remaining balance must be paid by the date agreed at the time of booking. - The booking covers the package, duration and number of children specified in the booking confirmation. - Any additional guests or changes to the booking must be agreed with Serenade Party Studio in advance and may incur an additional charge. - Please inform us in advance of any special requirements or adjustments you would like us to consider. ### 2. Party Activities and Experience Our parties are primarily designed around photography, creativity and fun. The girls can enjoy photography-inspired activities, creative crafts, instant photography, posing games and, where included in the chosen package, a professional photoshoot. Beauty-inspired and pampering activities are additional elements of the experience and are not the main focus of the party. Activities may vary depending on the selected package, the ages of the children and the agreed arrangements. We reserve the right to make reasonable changes or substitutions where necessary, while keeping the overall experience as close as possible to what was booked. Parents are welcome to discuss their preferred activities with us before the party. Any requested changes should be agreed in advance. ### 3. Food, Drinks and Allergies The safety of the children is very important to us. Refreshments may include pre-packaged snacks, sweets, drinks and other treats, as well as items such as popcorn or candy floss, depending on the party arrangements. Before the party, parents or guardians will be given access to the available ingredient and allergen information for the food, drinks and treats planned for the celebration. **It is the responsibility of the booking parent or guardian to:** - Read the ingredient and allergen information provided before the party. - Inform us of any food allergies, intolerances, dietary requirements or other relevant restrictions affecting their child or any guest. - Check the information for every item they are happy for their child to be offered. - Tell us clearly if they do not want their child to be offered a particular food or drink. - Make sure that any relevant information is provided before the party, not just on the day. Parents may refuse permission for their child to be offered any particular item. We will respect these instructions and, where possible, agree a suitable alternative in advance. Please be aware that we cannot guarantee an allergen-free environment or that products supplied by manufacturers are free from traces of other allergens. Where we cannot safely accommodate a particular allergy or dietary requirement, we may need to exclude the relevant item or ask the parent to provide a suitable alternative. We will keep ingredient and allergen information available and take reasonable care when handling and serving refreshments. However, parents must not assume that a product is suitable for their child without checking the information provided and discussing any concerns with us. ### 4. Allergies, Medical Information and Emergency Contact The booking parent or guardian must tell us before the party about any relevant medical conditions, allergies, intolerances, additional needs or other information that may affect a child's participation or safety. This includes, where relevant: - Food allergies and intolerances. - Skin sensitivities or allergies to cosmetics, lotions, face products or other activity materials. - Any medical condition that may affect participation. - Any medication or emergency arrangements we should be aware of. Please provide an emergency contact number for the duration of the party and make sure that the responsible adult can be contacted promptly. If a child becomes unwell or has an allergic reaction, we will stop the relevant activity, contact the parent or guardian and seek emergency assistance where necessary. ### 5. Beauty-Inspired Activities and Products Some packages may include glitter hair, temporary tattoos, nail painting, cucumber eye pads, facial rollers, face mists, moisturisers or other beauty-inspired activities. Parents will be given information about the products and materials intended for use. They must tell us before the party if their child has sensitive skin, known allergies or any reason they should not take part in a particular activity. Participation in these activities is optional. Parents may refuse permission for any individual activity, and children will never be pressured to participate. We reserve the right to leave out or replace an activity if we have concerns about a child's suitability or safety. ### 6. Photography and Images Taken During the Party Photography is an important part of the Serenade Party Studio experience. Children may take photographs using instant cameras and take part in photography-inspired games and activities. Where a professional photoshoot is included in the selected package, it will be carried out as described in the booking details. This may include individual portraits, birthday girl photographs and group photographs. The booking parent or guardian must inform us before the party if they do not give permission for their child to be photographed. **Please note that permission to take photographs during the party is separate from permission for Serenade Party Studio to use photographs for advertising or promotional purposes.** We will not use a child's identifiable photographs on our website, social media, advertising or other promotional materials without separate permission from their parent or legal guardian. Parents who do not wish to give promotional permission can still book and enjoy the party. Refusing promotional permission will not affect their child's participation. Where professional photographs are included, the number of edited images and delivery arrangements will be those stated in the selected package or booking confirmation. Unedited photographs and RAW files are not included unless specifically agreed. ### 7. Supervision and Parental Responsibility Serenade Party Studio is a small, cosy studio, and space for accompanying adults is limited. For this reason, we ask that no more than two parents or guardians remain inside the studio during the party, unless agreed in advance. Parents of younger children are welcome to wait just outside the studio or pop in occasionally to see what the girls are doing. The responsible adult must remain contactable and available if we need assistance. The booking parent or guardian is responsible for informing us of any child who may need additional support or supervision. Please discuss this with us before the party so that suitable arrangements can be made. Children must follow reasonable safety instructions during activities. We reserve the right to stop an activity if a child's behaviour creates a risk to themselves or others. ### 8. Studio Space and Parking Private parking is available for two cars at the studio. A parking permit is required and will be provided by Serenade Party Studio for the duration of the party. Parking is limited to the two allocated spaces. Please let us know in advance if you require a permit. ### 9. Arrival and Party Duration Please arrive at the agreed party start time. The party will finish at the time stated in your booking confirmation. Late arrival does not automatically extend the party, as we may have other bookings or arrangements afterwards. Please arrange to collect all children promptly at the agreed finishing time. ### 10. Cancellations and Changes If you need to cancel or change your booking, please contact us as soon as possible. Any booking payment, cancellation charges, refund arrangements or rescheduling options will be explained at the time of booking and confirmed in writing. If Serenade Party Studio needs to cancel due to unforeseen circumstances, we will contact the booking parent or guardian to discuss an alternative date or an appropriate refund. ### 11. Personal Belongings and Studio Equipment Children should take care of the studio, props, decorations, equipment and materials provided during the party. Serenade Party Studio cannot accept responsibility for personal belongings that are lost or left behind. Please make sure that children take all their belongings home at the end of the celebration. Any damage caused deliberately or through unreasonable behaviour may be discussed with the booking parent or guardian. ### 12. Agreement to the Terms By confirming the party booking, the parent or legal guardian confirms that: - They have read and understood these Terms & Conditions. - They have provided accurate information about the children attending. - They have disclosed any relevant allergies, medical conditions, dietary requirements or skin sensitivities. - They have reviewed the ingredient and allergen information provided for the refreshments. - They understand that they can refuse permission for their child to receive particular food, drinks or take part in individual activities. - They understand the photography arrangements and that promotional photography permission is separate. - They agree to inform the other parents or guardians attending about these arrangements and obtain any permissions needed for their own children.
